This meeting may be audio- and/or video-recorded, transcribed, or both, depending on the type of meeting. 

The purposes of this processing are:

  • If the meeting is recorded (audio/video): To create training videos or demos, to record sessions due to different time-zones across attendees.
  • If the meeting is transcribed: to help IPC prepare accurate minutes in key meetings, capture decisions and action points, and ensure proper follow-up in efficient way.

To transcribe or record meeting for any other purpose, contact IPC Information Security Team for approval.

IPC processes the following data:

  • If the meeting is recorded (audio/video): your name, participation, audio, video, and anything you say or present, may be captured.
  • If the meeting is transcribed: your name, participation, and anything you say may appear in the transcript.

In all cases, information is used only for the purposes stated above.

Recordings and transcripts are stored securely, and access is strictly limited to the meeting organisers. Recordings or meeting minutes, depending on purpose of meeting; can be shared only with target audience among the attendees. They will be deleted once the stated purpose is achieved (e.g., after meeting minutes and follow-up, or after training use), in line with IPC’s retention rules.

At the beginning of the meeting, you will be reminded about the recording/transcript and will be requested to consent by clicking on a button or by another affirmative action. Such affirmative action signifies that you agree to the meeting being recorded and/or transcribed for the purpose described above.

IPC further relies on its legitimate interest in keeping accurate records of meetings or achieving the purpose stated above.
